Overview

The Excel Connector pulls HR data from an .xlsx file, which necessitates manual upkeep to reflect the most accurate records. This source is common for appending data or creating quick charts. However, it is not recommended for charts larger than 300 boxes.

Required Fields

The Excel Connector has four required fields to function properly. These fields are:

Person ID

This is the ID number for an employee. You must have a column containing employee IDs that can map to this field.

Supervisor ID

This is a supervisor's Person ID that must be assigned to a supervisor's direct subordinates in the data file. This is how the hierarchy of a chart is created. Each box needs another box to report to. The top box should report to itself, or no one.

Name

This field assigns a Person ID with a name to display on the chart. Additionally, providing a name allows you to use the search-by-name function.

Title

This field assigns a Person ID with a job title to display on the chart. This allows you to organize and filter data, as well as use the searching-by-title function.

Excel Connector Set Up

The Excel Connector is available as a Main Data Source, Append Data Source, and Merge Data Source in both OrgChart Viewer and OrgChart Workbench.

Appending Open Positions

Excel files can also be used to append Open Positions to your chart.

Whether you track Open Positions manually, or you run a report of your Open Positions directly from your Applicant Tracking System, you can upload the Excel file to OrgChart Now, and display available job openings on your chart.

To append open positions in OrgChart Viewer, follow these instructions:

  1. Log into OrgChart Viewer.

  2. Click on More > Chart Settings.

  3. Click on the RefreshPlus.png button under the Append Data heading.

  4. Click on the Excel icon, and then click Select.

  5. Click on the Browse button (associated with the Excel Append Data Connector). The File Manager panel is displayed.

  6. Select the Data folder (in the left side panel).

  7. Click on the ViewSettings_Save_Icon.png icon (in the top right corner). The File Explorer of your local computer is displayed.

  8. Search for and select the Excel file containing your Open Requisition data.

  9. Click Open. The file is added to the Data folder in the OrgChart Now File Manager.

  10. Click on the newly added file to highlight it, and then click on Select.

  11. Check the ATS checkbox.

  12. Select the Field associated with the Hiring Manager in the Excel file from the Hiring Manager dropdown menu.

  13. Select the Field associated with Email in the Main Data Source.

  14. Optionally, check the Separate boxes for each open job requisition checkbox to display a box for each available opening listed under the same requisition ID.

  15. Select the Field associated with the number of available openings for each job requisition.

  16. Click Save, and then click Refresh.

Appending Open Positions (Workbench)

The following section provides step-by-step instructions for appending Open Positions using an Excel file in OrgChart Workbench:

  1. Log into OrgChart Workbench.

  2. Click on the Home ribbon, and then click on the Open icon.

  3. Click on the Reference folder (in the left side panel), and then click on the Upload icon.

  4. Search for and select the Excel file containing your Open Requisition data.

  5. Click Open. The Excel file is uploaded to OrgChart Now.

    Note

    Note: Remember the exact name and file extension (.xlsx) for this file.

  6. Click on the Charts folder (in the left side panel), and then select an existing chart.

  7. Click on the BLE_OK.png icon to open the selected chart.

  8. Click on the Refresh ribbon, and then click on the Advanced icon.

  9. Check the Append Data checkbox.

  10. Enter the name of the folder used to store the Append Data file, followed by the name of the Append Data file, and then the file extension in the corresponding text box (see below).

  11. Click on OK.

  12. Click on the Refresh icon.

  13. Click on the Save icon to preserve the changes.
